Running an Investor Roadshow in Toronto

Six meetings, one afternoon, and a Financial District where the buildings are close but the parking is not.

Plan the day backwards

Start from the last commitment — usually a flight or a dinner — and work backwards. Forward planning from the first meeting quietly pushes all accumulated slippage onto the end of the day, which is exactly where it does the most damage.

Assume at least one meeting overruns by twenty minutes. It always does, and a schedule with no slack turns that into a cascade.

Why the Financial District is deceptive

The towers on Bay, King and Wellington are physically close — often a three-minute walk apart. The temptation is to schedule tightly on that basis.

What that misses is the building time: reception, security, sign-in, elevator banks in towers of fifty-plus floors. Ten minutes from car door to meeting room is realistic; three is not.

It also misses the vehicle side. There is very little legal standing space outside these buildings. A car cannot idle at the door for forty minutes, so it stages nearby and returns — which works perfectly, provided someone planned for it.

How we run the vehicle side

Vehicles stage in known holding spots near each cluster of buildings rather than circling. The chauffeur is briefed on which entrance works — several Bay Street towers have a side entrance that is materially faster than the main lobby.

For multi-vehicle days a coordinator tracks the group by phone and re-sequences live. If the 2pm runs long, the 3pm is notified and the car repositions, without anyone in the meeting making a call.

The principals never wait outside. That is the whole point.

Documents, discretion and the car as an office

The car is a working space between meetings — briefing notes, a call to the team, a change of tie. Choose a vehicle with the rear space for it: a luxury sedan for one or two, an executive van or Sprinter for a team of four or more who need to talk on the move.

Our chauffeurs are briefed on discretion as a matter of course. What is discussed in the car stays there, and material left in a vehicle between legs is in a locked car with the same driver all day — not a different stranger each time.

Booking shape

Roadshows are hourly bookings, not point-to-point. The whole value is the car being held. Ten hours with a named coordinator, one invoice, cost-centre coded.

Send the itinerary the day before. Addresses, contact names, hard deadlines flagged. We will tell you if the timings are unrealistic — that conversation is cheaper the day before than at 2:40pm on the day.

Quick answers

How much time should you allow between roadshow meetings in Toronto?
Thirty minutes between Financial District buildings is comfortable, and fifteen is the practical floor. The walk is short but reception, security and elevator time in a fifty-storey tower is not.
Should a roadshow be booked hourly or per journey?
Hourly. The value is in the vehicle being held between meetings with your materials in it, and in being able to re-sequence the day live when a meeting overruns.
