The three problems worth solving early
Arrival day. Delegates land across a fifteen-hour window on dozens of flights. Meeting them individually is expensive; making them wait for a scheduled coach is unpopular. The usual answer is a hybrid — scheduled coaches at the peak arrival bands, individual transfers either side.
The daily loop. Hotel block to venue and back, at a frequency that means nobody plans their morning around a bus.
The last night. Gala dinners end unpredictably and everyone leaves at once. This is where most conference transport plans quietly fall apart.
Loop or timed departures?
A continuous loop suits venues within fifteen minutes of the hotel block and delegate counts above roughly 200. Vehicles circulate; delegates turn up and go. No timetable to publish, no missed departures.
Timed departures suit longer distances, smaller groups and programmes with hard start times. They are cheaper because vehicles are not running half-empty, but they require delegates to actually read the schedule.
For most Toronto conferences using the downtown hotel block and the Metro Toronto Convention Centre, a loop during the peak hours and timed departures either side is the efficient compromise.
Sizing
Do not size to your total headcount — size to your peak fifteen minutes. A 400-delegate conference does not need 400 seats; it needs enough capacity to clear the morning rush in three waves.
As a rough planning figure: a 20 to 30 passenger party bus doing a ten-minute loop moves about 150 people an hour, and a larger partner-supplied coach on the same loop moves roughly double that. Build in one spare vehicle for a 400-plus event; something always happens.
The things that go wrong
Venues that will not permit a coach at the main door, so the drop-off is 200 metres away and nobody told the delegates. Loading zones shared with a concurrent event. A gala venue with no coach turning circle. VIPs who need separate cars and were not on the manifest.
All are solvable — but only if someone walks the route before the event. We do that as standard for multi-vehicle programmes, and it is the single highest-value hour in the whole plan.
Practical asks for your operator
A named coordinator, on site at both ends. A reconciled manifest rather than an assumed one. A published fallback if a vehicle fails. One consolidated invoice with delegate counts, so your finance team can reconcile against registration.
And a walk-through of the venue access before the first vehicle moves.
